Reduction in costs of IT equipment maintenance in Netia

Hicron consultants designed and implemented solution optimizing the use of telecommunication software in Netia SA.

The main aim of this enterprise was to increase savings in Netia SA by reducing stock of telecommunication software. HICRON consultants helped to achieve the goal by integrating Lotus Notes application with SAP system and by carrying out certain improvements in the system. This helped to increase transparency of information on how many, what kind of software items are currently used, and to what extend they are used. This, in turn, resulted in decreasing costs.

“The large scale of our company’s activity means great stock of software. Checking its availability used to take us a lot of time and the risk of making mistakes, such as buying new items despite having our own ones, was large. Thanks to HICRON improvements we have now reliable, current and easy accessible information on software availability” – says Piotr Paduszyński, Leader of SAP Systems Development Team in Netia SA.

The key aspect of the project was to streamline the process of telecommunication software booking. In order to register software demand, Netia SA employees used external application Lotus Notes, connected with SAP system. Nonetheless their access to information on software availability was limited. HICRON experts developed the interface between SAP and Lotus Notes systems, designed the way of creating documents such as purchase demand. In this way, Netia employees wishing to book software, place an order in Lotus System indicating type of equipment and defining period of booking. Information is saved automatically in the SAP system. Using Lotus Notes application Netia employees can also check the current status of the contract and the availability of equipment.

„The equipment in the telecommunications industry ages rapidly, its inefficient use generates unnecessary costs. Thanks to the expansion of the SAP system in the area of material management and its integration with Lotus Notes, this issue does not apply to Netia. We managed to reduce the amount of stock in the warehouse, avoid unnecessary costs, release unused resources, accelerate the processing of orders, improve communication.” – Piotr Paduszyński lists the benefits introduced in the SAP system changes.

The cooperation of companies began in early 2008, when representatives of Netia SA asked HICRON Consulting to develop the concept of solution optimizing the use of telecommunication software. After approval of the concept in August 2008 Netia announced a tender for its implementation. The most attractive offer has proven to be the one proposed by the creator of the concept. At the end of August 2009, after more than 2 months work, was to run the solution. Five representatives of HICRON and HICRON Consulting took part in the project.
